Change Management Plan

How you communicate about digital transformation could be the deciding factor in the effort’s ultimate success. Not everyone has a clear definition of digital transformation floating around in their heads. You’ll want to begin crafting talking points that you can use to effectively and confidently communicate about key aspects of the project and what to expect. This Change Management Plan provides an overview of the digital transformation initiative including the core challenge(s), the transformation effort being undertaken to address the challenge, and how this change management plan will support your audiences.

Steering Group Charter

The steering group, a strategically minded team, is a highly valuable addition to your project pantheon. This group will advise on and possibly engage in decision-making around the key aspects of a digital transformation effort while lending their support to overcome obstacles along the way. A well-functioning steering group will support the widespread adoption of the upcoming changes and will likely play a key role in planning, budgeting, and prioritizing digital transformation activities now and into the future. It should be approached as a group that will exist in perpetuity, or at least until the digital transformation effort has reached a mature and stable state. This group can also be responsible for reviewing or revising relevant policies, making decisions around departmental budgets and staff-time allocations, and reviewing meaningful metrics once changes are implemented.

A well-thought-out project charter will help you communicate the goals, expectations, time commitments, and benefits of the project to the prospective team members you’ve gathered so they know what they’re signing up for. The project charter can help recruit and align the members of your Digital Transformation project team. This will be where you clearly state the purpose of your initiative and include any pertinent details or potential obstacles to your project’s goals.

Champion Program Description

Champions serve as your eyes and ears regarding how technology is performing in the organization. Members should represent a cross-section of the organization, primarily at sub-management level, representing all distinct departments or units. The champions group will exist in perpetuity, because there will always be a need to have an engaged group of stakeholders supporting and feeding into the success of the evolving Digital Workplace. Facilitator Guide- Conduct Interviews to Understand Current-State Challenges

The first round of stakeholder discovery interviews and/or focus groups will help you understand and communicate the challenges people face that can be addressed through the envisioned digital transformation effort. Focus on the general topics that matter most and provide the interviewer with reminders and prompts on where and when to go deeper. Ideally the interviewer will be experienced or knowledgeable enough to know when there is more information below the surface to be gathered, and when to move on to the next question. You know your organization best, as well as the particular realities you’re trying to uncover, so take the time to create a set of well-considered questions that will produce the most valuable information. Upon completing the initial interviews, you’ll be able to use the information gathered to convince your organization to begin reorganizing your workplace right away.

Discovery Findings and Recommendations Template

Use this template to summarize the findings of the discovery work you completed to present to your project stakeholders. The culmination of your findings will play a critical role as you begin envisioning and planning to create the change sought by the team members you interviewed during your discovery sessions.
